Executive Assistant – £17 per hour (inc holiday pay)

The successful candidate will have experience of working at Senior Level 

We are looking for an experienced Executive Assistant/PA to provide a comprehensive secretarial and administrative support service to the Directorate and to effectively manage and organise the workload and prioritise day-to-day tasks.

To ensure that enquiries made of the Directorate are handled in an effective manner and that callers, whether in person or over the telephone, are directed in an accurate and timely manner.

You will also be responsible for providing a professional and customer-focussed diary management and administrative support service to chief officers. 

Main Duties and Responsibilities

  • Production of general correspondence including Internal memoranda, items on general circulation, press releases and publicity material
  • Draft replies to routine correspondence 
  • Organise the effective collation and distribution of correspondence and papers to ensure that items are both received and despatched in a timely and proper manner
  • Assess the relative importance of calls and ensure that calls are routed to the most appropriate member
  • Liaise with Committee Services to ensure that Committee Agendas, decision sheets etc. are received and reports despatched
  • Organise meetings and send out Agendas  
  • Take minutes of meetings
  • Produce and distribute action sheets
  • Ensure appropriate follow up action is taken on behalf of the directorate
  • Produce complex reports
  • Maintain a personal filing system for Committee report and Members enquiries 
  • Create new records and filing systems as required
  • Complete attendance records for the Directorate.  
  • Responsible for managing and organising diaries with maximum flexibility   
  • Ensure Executive and other reports meet the agreed deadlines for sign-off and distribution 

The successful candidate will have: 

  • Previous experience of Executive Assistant work at management board level
  • Strong administrative skills
  • Diary management
  • Minute taking experience
  • Experience of typing a wide range of correspondence
  • Knowledge and experience of health and safety requirements and safe working practices
  • Excellent communication skills both written and verbal
  • Excellent IT skills including Word, Excel and Outlook
