My client is looking for a Personal Assistant to offer support to the Head of Service. You will provide PA support to the Head of Service and full administrative support to a team of 10.

Responsibilities:

  • Personal Assistant to the Director
  • Extensive diary management
  • Travel bookings
  • Audio/copy typing
  • Provide full administration support to the team
  • Develop and maintain accurate and efficient programme / project management administrative systems
  • Organise meetings and events
  • Drafting agendas & ensuring all facilities are appropriate and booked
  • Preparing PowerPoint presentations
  • Taking minutes at meetings
  • Prepare complex reports, tables and presentations.
  • Maintain and keep an up-to-date record of annual leave entitlement for the team
  • Recording confidential personal data of staff, training & appraisals
  • Process expense claims
  • Set-up and maintain an effective electronic filing system
  • Responsible for scanning and indexing documents for the service
  • Design, set-up and maintain a manual central filing system with procedures for its use.
  • Receive/open post, record and distribute as required
  • Manage all incoming mail by logging them systematically & ensure all outgoing mail is posted promptly.
  • Draft correspondence on behalf of the Director where appropriate

Requirements:

  • Experienced Personal Assistant
  • Audio/copy typist
  • Excellent verbal and written communication skills
  • Excellent IT skills including Word, Excel & PowerPoint
  • Ability to draft letters, memos, emails and other correspondence
  • Ability to organise events and meetings
  • Ability to attend meetings/ local events, as required, outside normal office hours
  • Complex minute taking experience
  • Ability to work on own initiative, prioritise and manage own workload
  • Ability to work under pressure to meet unplanned deadlines.
  • Ability to gather and collate information and respond to enquiries
  • Ability to collate figures and maintain financial records
  • Ability to establish and maintain comprehensive filing and indexing systems
