Receptionist/Administrator for Healthcare Charity - North West London

Temp to Perm position

Starting as a temp on £10 per hour + holiday pay and becoming permanent after 3 months

**This is a split role – Working on the Reception as well as  the back office assisting with admin support**

This is a great opportunity for an experienced administrator to be part of a professional, caring team.

Previous experience working within this field would be ideal but is not essential.

Experience using EMIS would be an advantage.

Administrator duties will include:

  • Providing front line reception service for the Day Therapy Unit, delivering a high quality of customer service to patients, relatives, carers and staff
  • Supporting a smooth running of the DTU clinics through liaison with external healthcare providers, patients & staff
  • Ensuring the timely recording of accurate patient data
  • Demonstrating sensitivity, tact & diplomacy where appropriate when acting as first point of contact with distressed or anxious patients and carers
  • Dealing with telephone enquiries ensuring confidentiality and courtesy are prioritised at all times

Supporting DTU Clinics

  • Liaising with newly referred patients & arrange their appointment sending the associated documentation
  • Ensuring all required clinical information is in place prior to a patient’s appointment including blood tests, external clinical letters & scan results as requested by the clinical team, adding the hospice to relevant hospital team CC lists
  • Following up previous clinic session by collating test results and make them accessible to medical staff
  • Booking and co-ordinating transport as required
  • Liaising with external palliative care teams and other healthcare providers on DTU referrals

Patient Records

  • Registering new patients on Pal Care/EMIS & create new patient folders
  • Recording all patient activities on Pal Care/EMIS including all appointments and phone calls
  • Inputting, updating & retrieving information from RFH Systems (Cerner, Path, PACS) & Coordinate My Care
  • Ensuring the demographic data recorded on Pal Care/EMIS for every patient referred to DTU is up to date and that all next of kin information is accessible
  • Ensuring patient forms with essential data such as GO authorisation and ethnicity are correctly entered in patient’s notes & updated on Pal Care/EMIS
  • Filing patient documentation in a timely & accurate manner
  • Updating RIPs and discharges on to Pal Care/EMIS
  • Ensuring all paperwork is scanned into the patient’s record on EMIS


  • Providing efficient & responsive general administrative support to the DTU nursing team, including filing, photocopying, shredding, faxing, booking rooms, maintaining office equipment, drafting letters and making calls as required
  • Proving admin support for DTU improvement projects as required by the nursing team
  • Providing admin support to the family & patients support team as & when required
  • Preparing PalCare/EMIS reports for the MDT, DTU Sister & DTU Service Manager as required
  • Helping the DTU Sister in ensuring general DTU volunteers & complementary therapists are appropriately supported
  • Ensuring the Admin volunteers working for DTU are supervise & managed
  • Assisting the DTU Sister with 3 monthly checks
  • Ensuring the policy folders are kept up to date
  • Responsible for undertaking DBS applications as directed
  • Maintaining & managing the DTU nursing office stationary supply & updating clinic room stock lists
  • Maintaining accurate up to date records of nursing annual leave, sickness & training on KEM & to have an understanding of MCCC’s incident recording database
  • Working as a full member of the Hospice Administration Team, providing reception cover & undertaking agreed duties during the absence of any other Hospice administrator, working flexibly across both the Day Therapy Unit & inpatient wards as required

The ideal Administrator will have:

  • Administration experience
  • Knowledge of EMIS would be an advantage
  • Excellent communication skills both verbal & written
  • Excellent organisation skills & attention to detail
  • Excellent IT skills including Word & Excel
